Please note that this policy document is limited in its scope to those web visitors seeking general information using the public website at www.licencecheck.co.uk for the purposes of sales and marketing enquiries, requests for product and services information, general news items and case studies.  It covers ‘contact me’ enquiries and those registering for product information and regular marketing updates.

There is a separate Privacy Policy for data subjects registered with the DAVIS live service that covers the collection and management of driver and administrator personal data used to register with that service or nominated contacts data provided to manage the service.  This service specific DAVIS Privacy Policy can be accessed from the login screen https://fleet.edavis.co.uk/ or using internal links within the DAVIS service after logging in.

Licence Check Limited understands that Your privacy is important to You and that You care about how Your Personal Information is collected, used and shared online.  We respect and value the privacy of everyone who visits this website, www.licencecheck.co.uk (“Our Site”) and will only use the Personal Information we collect in the ways described in this Privacy Policy.  We always collect and use Personal Information in a manner that is consistent with our obligations as a data controller & processor and Your rights under the law.

  1. What Does This Policy Cover?
    • This Privacy Policy applies only to Your use of Our Site and Our use of Your Personal Information. It is restricted to the use of this public facing website.  There is a separate Data Protection Policy document for data subjects intending to register or already registered with the DAVIS hosted services that addresses the personal information processed within that service.
    • Our Site may contain links to other external websites. We do not check or monitor the content on these external sites and We have no control over how Your data is collected, stored, or used by them.   We therefore advise You in all cases to check the privacy policies of any such websites before providing any Personal Information.

Please note that We do not control the activities of such third parties, nor the data they collect and use and therefore advise You to check the privacy policies of any such third parties.  Where we are informed or become aware that there is cause to suspect that a linked third-party website breaches the GDPR, we will disable the link and/or remove the item from the Site.
  • You have a right to withdraw Your consent to Our use of Your Personal Information at any time, and to request that We delete it. To exercise this right, You can email us at preferences@licencecheck.co.uk  and request that we delete Your record.  Please ensure that Your instructions are clear and that You provide us with sufficient Personal Information to allow us to identify You and action the request.
  • We do not keep Your Personal Information for any longer than is necessary in light of the reason(s) for which it was first collected. Data will therefore be retained for the following periods (or its retention will be determined on the following bases): –
    • Newsletter registration – until request for the service is withdrawn by You or We become aware that emails are being bounced back;
    • request for quotation – maximum 3 years from the date of receipt;
    • contact request – maximum 3 years form date of receipt;
    • complaint or suggestion – maximum 3 years from date of resolution;
    • other – 3 years.

 

  1. How and Where Do We Store Your Data?
    • We only keep Your Personal Information for as long as We need to in order to use it as described above in section 6, and/or for as long as We have Your permission to keep it.
    • Your data will only be stored in the UK on our own secure servers located in our offices and/or in UK Microsoft Data Centres except in the case of information used for email broadcasts and marketing mailings that may be stored on selected third-party systems (see also section 8 below).
    • The GDPR requires Us to take security precautions having regard to the nature of the Personal Information collected, its scope, the reasons for collection and the current state of technology as well as the risk or likelihood of serious harm to the rights and freedoms of individuals if security is breached.
    • Data security is high on our list of priorities, and to protect Your data We have taken suitable measures to safeguard and secure data collected through Our Site.

 

  • Steps We take to secure and protect Your data include: –
    • We are ISO27001 security certified by BSI;
    • We apply software updates and patches as and when these are made available;
    • Our Site undergoes annual vulnerability testing by an independent expert third party agency certified to carry out this work. We also conduct our own periodic internal vulnerability testing;
    • We also undergo annual independent security testing by an approved external agency as part of our Cyber Security Plus accreditation;
    • all data collected is stored in our databases on different equipment and is encrypted for security purposes;
    • where data is stored in an externally hosted Microsoft Azure cloud service, we employ automated backup and Microsoft security protection appropriate to the nature of the data stored including firewalls, encryption and malware protection;
    • Our Site uses HTTPS protocol to secure communications between Your web browser and our Site.

 

 

  1. Do We Share Your Data?
    • Subject to this section 8, We will not share any of Your data with any other third parties for any purposes.
    • We may sometimes contract with third parties to supply other or additional services to You on Our behalf or in partnership with Us, but only where these are specifically requested or inter-connected with the service(s) requested. Examples include payment processing facilities, specialist assessment and training services, other web-based driver and vehicle applications, services or products and consultancy.  We also use externally hosted third party e-mailing and broadcast solutions (such as MailChimp and HubSpot in order to distribute information and newsletters).  Both of these companies are registered in the USA and have EU and Swiss Privacy Shield (version 2.0) active status indicating that they satisfy the EU’s requirements in the protection of personal data of EU citizens.  HubSpot have also agreed the EU Model Terms Data Processing Agreement to cover the processing of EU and UK personal data.  Personal data will be limited to name and email address and any preferences that have been identified.  In some cases, third parties may require access to some or all of the Personal Information in order to provide tailored information or a quotation.  Where any of Your data is required for such a purpose, We will take all reasonable steps to ensure that Your data will be handled safely, securely, and in accordance with Your rights, Our obligations to You, and the obligations of the third party under law.
    • We may compile statistics about the use of Our Site including data on traffic, usage patterns, user numbers, sales, and other information. All such data will be anonymised and will not include any personally identifying data, or any anonymised data that can be combined with other data and used to identify You. We may from time to time share such anonymised data with third parties such as prospective investors, affiliates, partners, and advertisers.  Data will only be shared and used within the bounds of the law.
    • In certain circumstances, We may be legally required to share certain data held by Us, which may include Your Personal Information, for example, where We are involved in legal proceedings, where We are complying with legal requirements, a court order, or a governmental authority.
